Job Description

World Wildlife Fund (WWF), one of the world’s leading conservation organizations, seeks an Associate Specialist, Events.

Events are integral to the Development Department’s strategy and designed to engage and maintain current donors while expanding the base of donors and prospects. This position is responsible for organizing and providing logistical recommendations and support for regional prospecting, cultivation, stewardship and institutional events, while executing on some limited administrative support tasks including expense report processing and data entry.

Salary Range: $56,700 - $70,900

Responsibilities

Proactively brings concerns to leadership Collaborates closely with events director, events manager, gift officers, volunteers, and others to ensure smooth operations throughout all stages of event planning. Takes the lead on conducting research and providing comparative cost analyses for event venues, vendors, and hotels for event teams. Schedules site and vendor visits. Reviews and processes vendor contracts to include working work with WWF-US General Counsel’s office to articulate requested revisions to vendor agreements. Monitors Events communications including the email inbox, responding to inquiries in a timely, engaging, and professional manner. Tracks RSVPs, manages event registration, produces nametags, and ensures meeting materials arrive at event sites on time. Provides on-site coordination and management of events as necessary. Completes necessary event follow-up tasks in a timely manner, including completing records in the Customer Relationship Management (CRM) system, bill payment, and maintaining organized digital events files. Maintains and regularly audits event planning systems and data including guest recordkeeping, event registrations, donor/prospect record creations, and other regular data integrity/system maintenance tasks as needed. Develops and distributes event summaries to present to Development staff to better inform future events. Provides quarterly donor engagement analysis reports with customized metrics related to event activity measures, gifts, and other data necessary to inform business decisions by team leadership. Stays current with event trends. Performs other duties as assigned.

Qualifications

A Bachelor’s Degree (or equivalent experience) required, plus a minimum of two years’ professional experience in event coordination and execution. Must possess the confidence and professionalism to be able to work independently and successfully with leadership volunteers, the full spectrum of Development donors, executive and senior staff, consultants, vendors, and venues. Knowledge of Blackbaud CRM or other constituent management databases is required. Ability to construct complex, accurate reports from database system data is preferred. Knowledge of fundraising preferred. Demonstrated comprehension of standard development practices and techniques. Strong verbal and written communication skills and demonstrated ability to articulate complex ideas clearly, accurately, and concisely. Excellent organizational and analytical ability and judgment. Ability to self-motivate and work well independently and with others. Able to work on multiple projects simultaneously, set priorities, and meet short deadlines. Possess a demonstrated interest in environmental policy and conservation issues and a commitment to the goals of WWF. Ability to maintain confidentiality. Ability to bridge relationships and communication between multiple departments. Detail-oriented. Strong project management skills. Experience entering information into donor/fundraising database systems. Travel (approximately 25% and often independently). Proficiency in Microsoft Office Suite.
